Privacy Policy

This notice explains in plain language how Synapsework collects, uses, and keeps personal information from enquiries and course participants. We have written it to be readable rather than to obscure what we do.

1. Who we are

Synapsework is an applied machine learning education studio based in Kuala Lumpur, Malaysia. We offer online courses to working adults and handle enquiries through this website.

This policy applies to personal information we receive through the website at synapseworkasd.pro, including the contact form and any email correspondence.

2. What information we collect

We collect only what is needed to respond to your enquiry or administer your course participation. This may include:

  • Your name, as entered in the contact form or email
  • Your email address
  • Your phone number, if you choose to provide it
  • The content of your message or enquiry
  • Basic technical information when you visit the website, such as your browser type, approximate location by country or city, and the pages you viewed — collected by analytics tools (see section 6)

We do not collect payment card details directly. If enrolment proceeds, payment is handled through a third-party payment processor and their privacy terms apply.

We do not collect information about children. Our courses are intended for working adults. If you are under 18, please ask a parent or guardian to contact us on your behalf.

3. Why we collect it

We use the information you provide for the following purposes:

  • To reply to your enquiry about courses or enrolment
  • To confirm and administer your course participation once enrolled
  • To send you information about the course schedule, cohort sessions, and practice notebooks — only for participants who have enrolled
  • To issue a course completion record to participants who meet the submission requirements
  • To understand how people find and use the website so we can improve it (analytics data only — see section 6)

We do not use your contact details for marketing to people who have not enrolled in a course or specifically requested study-related updates. We do not sell or rent your information to third parties for marketing purposes.

4. How long we keep it

Enquiry records (name, email, message) are kept for up to 24 months. This allows us to answer follow-up questions from people who enquired but did not enrol at the time.

Course participation records, including the names of participants who received a completion record, are kept for up to five years for our own administrative purposes.

After these periods, personal information is deleted from our records or anonymised so it can no longer be linked to you.

If you ask us to delete your record before the period above, we will do so unless there is a specific reason to retain it (for example, if you are a current participant and your record is needed to complete the course administration).

5. Sharing with third parties

We do not sell or share your personal information with third parties for their own marketing purposes. We may share limited information with the following categories of service provider, only as needed to deliver our courses:

  • Email and communication tools — we use a third-party email platform to send course-related messages to participants. Your email address is stored on that platform solely for this purpose.
  • Video and cohort session platforms — live sessions are run on a video conferencing platform. Attendance is logged by that platform. We recommend reviewing their own privacy notice before a session.
  • Analytics — website usage data is collected by analytics software. This is described further in section 6.
  • Payment processing — if you enrol, payment is processed by a third-party service. We receive confirmation that payment was received; we do not store your card details.

All service providers we use are required to handle personal information in a manner consistent with their own published privacy policies. We choose providers that have reasonable data protection practices.

We may be required to disclose information if required by Malaysian law or a lawful order from a relevant authority. We will inform you if we receive such a request, where we are permitted to do so.

6. Cookies and analytics

This website uses cookies — small text files stored by your browser — for the following purposes:

  • Preference storage — a cookie records your cookie consent choice so we do not ask again on every visit.
  • Analytics — if you accept analytics cookies, we use an analytics tool to understand which pages are visited and how people navigate the site. This data is aggregated and does not identify you personally.

You can choose to accept or decline non-essential cookies when the banner appears. You can also adjust or clear cookies through your browser settings at any time.

7. Your rights

You have the right to ask us what personal information we hold about you, to request a correction if something is wrong, and to ask us to delete your record. You may also ask us to stop using your information for a particular purpose.

To exercise any of these rights, write to us at [email protected] with the subject line "Data request". We will respond within 14 working days.

We will not charge a fee for a reasonable request. If a request is clearly excessive or repetitive, we may ask you to narrow it down before proceeding.
